Inquiry Follow-Up Setup

A Simple Inquiry Follow-Up System for Your Business

Keep track of every inquiry, proposal, and next step, so opportunities don't get lost in the shuffle.

Inquiry Follow-Up Setup is a one-time service that builds a follow-up tracker for the inquiries you already have. I build it in your own Airtable account: one record for every open opportunity, with its status, your last contact, and the next step, plus one email each morning listing who's due for follow-up. You write and send every message yourself. It takes one 90-minute working session and about a week.

Why do inquiries go cold?

Because the follow-up lives in three places at once: your inbox, your notes, and your head.

Someone asks about your services. You reply, maybe send a proposal, and then the week happens. Two weeks later you're wondering whether they ever answered and what you said you'd send. By then the trail is cold, and checking in feels awkward.

The fix is plain: one list of who's waiting on you, what you promised, and the date you said you'd check back.

Is following up with a prospect pushy?

Not when they asked you first. Answering a question someone brought to you, on the timeline you gave them, is part of good service.

Pushy is a different set of tactics: fake deadlines, a string of automated "just checking in" emails meant to wear someone down, a discount that expires at midnight. This system has none of that. It reminds you to follow up. You decide what to say and whether to say it.

What's included in Inquiry Follow-Up Setup?

A follow-up tracker built around how inquiries actually reach you. It runs in your own Airtable account.

Inquiry tracker

One record per opportunity: the contact, their business or practice, what they asked about, and your notes.

Status and next action

Where each conversation stands and the one thing that happens next.

Follow-up dates

Your last contact and the date you'll check back, set for each record.

Daily follow-up email

Each morning, an email to you listing the open opportunities due for follow-up.

Owner

If more than one person handles inquiries, each record shows whose it is.

Who is Inquiry Follow-Up Setup for?

Business owners, coaches, and private practices who already get inquiries and lose track of the follow-up.

This is for you if

  • People reach you by email, phone, your contact form, and referrals, and nothing pulls it together
  • You send proposals or quotes and lose track of where they stand
  • You've realized weeks later that you never got back to someone
  • You want a reminder to follow up, not software that writes to people for you

This isn't for you if

  • You want more leads or booked appointments
  • You want automated email sequences sent to prospects
  • You have a sales team that needs a full CRM with inbox syncing
  • You want someone else to handle your follow-up

How long does Inquiry Follow-Up Setup take?

About a week from intake to handoff, with two calls in between.

  1. Intake. Tell me how inquiries reach you and where you track them now.
  2. Working session. We meet for 90 minutes on Google Meet to map how an inquiry moves from first contact to a yes or a no.
  3. Build. I build your tracker in your Airtable account within 5 business days.
  4. Handoff. A 30-minute walkthrough where you add your open inquiries and set their first follow-up dates while we're on the call.

How much does Inquiry Follow-Up Setup cost?

$750, paid once before your working session. No monthly fees from me, and all sales are final.

Questions about following up on inquiries

What is an inquiry follow-up system?

A simple tracker for the people who have asked about working with you. It shows where each conversation stands, what happens next, and when to follow up, so nothing depends on your memory.

How do I keep track of client inquiries?

Give every inquiry one record with its status, last contact, next action, and follow-up date, all in one place instead of spread across your inbox. A daily email of what's due does the remembering for you.

How soon should I follow up on an inquiry?

When you said you would. If you didn't give a time, pick one when you reply and put the date in your tracker. Every record gets its own follow-up date.

Does it send emails to my prospects?

No. The only automated email goes to you. You write and send every message to prospects yourself.

Will it know when someone replies?

No. It doesn't connect to your inbox. When you hear back, you update the record and set the next follow-up date.

Is this a CRM?

It's a focused tracker for open inquiries, not a full CRM. If you have a sales team that needs inbox syncing, pipelines, and reporting, a full CRM is the better fit.

Do I need a paid Airtable plan?

Maybe not. Airtable's free plan includes 100 automation runs a month per workspace, and one daily reminder email uses about 30. If Referral System Setup runs in the same workspace, the two daily emails share that limit. I check your plan against the build before we start, and you pay Airtable directly for any upgrade.

How is this different from Referral System Setup?

Referral System Setup tracks the people who send you business and suggests introductions between them. Inquiry Follow-Up Setup tracks the people who have asked about working with you. Start with whichever problem you have now.

Who owns the tracker?

You do. It's built in your own Airtable account, so it stays yours after the handoff.

Do I need to be good with tech?

No. If you can use a spreadsheet, you can use this. I'll show you everything during the handoff.

Can I ask questions before I buy?

Yes, and please do. There's no sales call, so if you're not sure Inquiry Follow-Up Setup is right for you, send me a question first. I reply by email.

What's your refund policy?

All sales are final, and there are no refunds.
